Job Description

Position summary

Reporting to the Director, Stakeholder Engagement and Communications, the primary responsibility of the position of the Specialist, Engagement and Events is to directly support the achievement of organizational objectives as set out in Travel Alberta’s (TA’s) business strategy.

The Specialist contributes to the strategy from the perspective of multiple audiences. The role monitors the public and political environments and shareholder and stakeholder perspectives and applies these insights strategically to the stakeholder engagement and events function. The specialist also identifies issues that may impact TA’s or senior leadership’s corporate reputation.

The Specialist will be experienced in stakeholder engagement and events management and will develop a broad range of communication strategies, outreach programs and events that effectively educate, inform and build relationships with targeted stakeholder groups.

This position will also oversee content creation for compelling, interactive presentations, and develops speaking notes, internal and external key messages, issues briefs, and corporate reports. The Specialist is accountable for schedules, budgets, contracts and invoicing for all projects as assigned.

What you’ll do

Stakeholder Engagement:

  • Working closely with the Director, develops and implements engagement plans to advance the organizational stakeholder engagement strategy.
  • Monitors public and political environments, and shareholder and stakeholder perspectives, applying insights strategically to stakeholder engagement and events function.
  • Develops and maintains relationships with stakeholder partners to foster collaboration toward shared objectives and interests.
  • In collaboration with the Director, Research and Evaluation, designs and implements surveys and other research initiatives among stakeholders.
  • In collaboration with the communications team, plans and delivers educational initiatives such as podcasts, webinar or blogs in partnership with various stakeholders.
  • Identifies opportunities for new outreach initiatives and activities to support engagement and communicate TA’s relevance to its stakeholders and shareholder.
  • Researches, produces and distributes reports, correspondence, executive/board briefing notes, planning documents, responses to shareholder/stakeholder inquiries.
  • In collaboration with the communications team, communicates relevant, timely information to internal and external audiences, including senior level.

Events Management:

  • Develops communications strategies for both internal and external events (i.e., all-staff meetings, lunch and learns, media events, conferences, town halls).
  • Manages the coordination and the logistical needs and bookings of events.
  • Provides leadership as a critical team member, working cross-functionally with stakeholders on strategy, concepting, messaging, and execution of events.
  • Manages all logistical needs and management of event site details by providing comprehensive plans, schedules, documentation, and communication across all involved departments and stakeholders.
  • Attends events as required as a point of contact for troubleshooting, execution, and delegation of activities where appropriate.
  • Leads contract management of supplier services, including venues, catering, AV, security/hosting services, virtual event platform(s) and/or conference mobile applications for each event.
  • Has a strong understanding of relevant technology to manage the technical aspects of both virtual and in-person events.
  • Oversees content creation for presentations and develops speaking notes, run-of-shows, internal and external key messages, and briefing materials.
  • Develops and manages budgets, invoicing and reporting on metrics of success.
  • Provides direction and input on the continuous improvement of the events delivered by measuring past successes, identifying best practices, and proposing new ideas to expand the event’s potential.

Content Curation and Creation:

  • Working closely with the communications team, identifies ideas and creates compelling and effective content in a variety of formats for a range of audience groups and channels.
  • Supports engagement on Travel Alberta’s corporate social media channels and industry website, including content creation and curation, ensuring TA’s corporate brand and voice is consistently applied.

Budget Accountability and Reporting:

  • Creates engagement and event reports, including recommendations for improvement.
  • Completes appropriate forms and financial reports.
  • Manages and maintains the Stakeholder Engagement and Communications working budget for events and initiatives assigned, from start of project through to close of project and evaluation.

Qualifications

  • University degree in Public Relations, Communications, Journalism, Business, Political Science or related discipline, or an equivalent combination of education and experience.
  • Minimum of five years in a corporate communications role or similar role.
  • Experience planning, organizing and implementing stakeholder engagement activities and events such as open houses, town halls, conferences, all-staff meetings, round tables, media events, virtual forums and feedback mechanisms.
  • Experience developing and implementing multi-dimensional stakeholder engagement programs (virtually and in person) and participatory/collaborative processes.
  • Experience in working with project teams to address stakeholder concerns, find alignment, build consensus, and respond to issues.
  • Experience in project management, horizontal collaboration and evaluating and measuring the implementation of strategy using analytics against KPIs.
  • Experience in writing speaking notes, issues briefs and key messaging for senior leadership.
  • Experience in issues and risk management communications.
  • Experience managing contractors and budgets for projects.
  • Ability to deliver high-quality work on tight deadlines in pressure situations.
  • Well-developed written, oral, and interpersonal communication skills.
  • Strong planning and organizational skills.
  • High aptitude for managing and solving tactical issues.
  • Versatile, responsive, and results-oriented, with strong critical thinking skills.
  • Creativity and enthusiasm for innovation and finding improved ways of working and engaging.
  • Valid driver’s license and good driving record.
  • Willing and able to travel domestically and internationally if required.
  • Experience working with government departments is an asset.
  • Knowledge of the Alberta tourism industry and the role of Travel Alberta is an asset.
