Job Description

The Opportunity

The Executive Assistant to the Senior Vice President (SVP) provides administrative and organizational leadership and support in managing the SVPs office. The Executive Assistant will manage the SVPs calendar and be responsible for a wide variety of executive level support including corporate travel planning and preparation of correspondence, information and presentation materials and reports on behalf of the SVP and the department.

Responsibilities will include but not be limited to the following;

  • Preparation of information and presentation materials and reports on behalf of the SVP
  • Creates high-quality materials for meetings and presentations
  • Provides project management assistance with / research support for special projects as required
  • Acts as the frontline face of the SVP and triages stakeholder / executive inquiries on behalf of the SVP
  • Facilitates communication on behalf of the SVP across leaders at CPA Canada and across the industry
  • Ensures all required materials are prepared and approved within deadlines
  • Complete expense reports
  • Create/maintain contact lists and spreadsheets
  • Monitor and provide updates on departmental budget
  • Maintain accurate records and filing systems
  • Conduct daily calendar management, coordinating all meetings and scheduling all activities involving the SVP and visitors, and proactively adjust schedule based on priorities
  • Manage and prioritize tasks and emails
  • Organize meetings from end to end (planning, agenda, scheduling, and technology) for SVP
  • Prepares and distributes agendas and supporting documentation for board and committee meetings
  • Coordinate travel arrangements, including flight, hotel, meals and car rental reservations as appropriate
  • Prepares correspondence on behalf of the SVP including responses to requests to speak / present at industry events / any committee responses or coordination required
  • Ensures all SVP correspondence outputs support the CPA Canada mission, vision and values
  • Establish and maintain effective relationships with key members of each of CPA Canada’s business units, leadership in the role of supporting the SVP
  • Manage relationships with business partners and stakeholders to ensure and expectations are effectively managed, proactively following up with contacts to ensure that all deliverables are achieved in real time
  • Communicate regularly with business units, establishing rapport with key personnel, and acting as an effective bridge between the SVP and the business units

Qualifications

The Candidate

The Ideal Candidate will have the following skills and experience;

  • Diploma or Degree in Business Administration or other relevant discipline
  • 3-5 years in an administrative role with experience providing support to executives
  • Excellent project management and organizational skills, including the proven ability to handle multiple complex projects simultaneously
  • Thrive in a fast paced, on-time deliverable environment
  • Creative and proactive communication skills both written and verbal and consensus building skills
  • Critical thinking and analytical problem-solving skills
  • Exceptional attention to detail
  • Proven ability to work through conflict, build trust, and influence outcomes through outstanding interpersonal skills at all levels
  • Conceptual thinker with creative and strong business acumen
  • Results-oriented and data driven
  • Proficient in Microsoft Office applications (Word, Outlook, Excel, PowerPoint)
